Bringing a smart virtual experience to a dual-located hybrid conference

The challenge

To assist Slaughter and May, one of the most prestigious law firms in the world, with the production of their M&A Perspective conference as a hybrid event.

With high-profile clients and a high-profile brand embarking on a complex hybrid event with over 450 attendees, our challenge was to help Slaughter and May deliver the very best experience, seamlessly connecting delegates across both Hong Kong and London.

Slaughter and May also needed an experienced partner who knew how to stream into Asia without getting blocked by local firewalls.

How we helped

Slaughter and May selected Totem on the strength of our technology offering and because they needed a partner who would provide strategic advice from the get-go.

A dedicated Totem account manager worked with the event team at Slaughter and May to understand their objectives and provide step-by-step guidance to help set up their hybrid experience. This included audience mapping and scenario modelling to ensure we were prepped for almost any eventuality, as well as comprehensive on-the-day support.

Ensuring the best possible branded experience

The event was live-streamed onto Totem’s digital engagement platform, Reef. Speakers in both the UK and Asia were shown side-by-side and in real-time for seamless synergy between the two offices, interspersed with slides and bridging animation. The experience was further elevated by using custom-branded backgrounds, personal agendas and landing pages, as well as allowing remote audiences to post questions to be read out live.

Live streaming content into Asia can prove challenging. With vast experience streaming into the Asian market, Totem advised Slaughter and May on the potential pitfalls with firewalls and was able to support the event with a live-streaming technology partner that ensured a smooth experience for all attendees.

Teleportation – a simple solution for complex scheduling

The event involved a 60-strong in-person audience across both offices, and 400 virtual attendees spread worldwide. Slaughter and May required all delegates to be part of the main plenary session but wanted to subsequently split the London and Hong Kong audiences to discuss changes in the regulatory environments respective to each market, before converging once again to discuss deal protections.

In order to seamlessly manage this process without the inconvenience of asking audience members to leave and rejoin sessions, Slaughter and May took advantage of the teleportation function within the Reef platform. This allows event organisers to group audiences by role type and automatically teleport them into breakout rooms at the click of a button.

Outcome

A slick, seamless experience for clients based in London and Hong Kong that showcased Slaughter and May’s expertise while placing their brand front and centre in its very best light.
